Getting started with Playbooks

Use Playbooks in ScalePad CS to turn a recurring service, such as a quarterly business review, into a schedule your team can run for each client.

How Playbooks work

  • A Playbook defines the actions, timing, and owners for a service. You can save an unfinished draft and return to it later.
  • A published version is the plan your team can run. Publish a new version when you want future Runs to use revised content.
  • A Run applies a published version to one client on a specific schedule. An existing Run keeps the version it started with.

Plan your first quarterly business review

The Templates tab under Playbook Runs, with the New Playbook button in the upper right.

Open Templates to create or review a Playbook.

  1. Go to Playbooks → Playbook Runs → Templates and select New Playbook. You can also find Templates under Settings → Playbooks.
  2. Add a one-time kickoff Task to gather account context. Add a recurring Deliverable action to prepare the review and a recurring Meeting action to hold it. Schedule the preparation before the meeting so the advisor has time to finish the draft.
  3. Choose a template and owner for the Deliverable. You can assign work to a person or a client-team role, such as vCIO. Set the meeting time and duration.
  4. Save and publish your Playbook. Start with one client. Choose the start date, preview the schedule and owners, then start the Run when you’re ready.
  5. Open the Run to follow the work. When the Deliverable is created, open its draft to review and publish it.

The Quarterly Business Review Playbook timeline shows recurring Deliverable and Meeting actions in months 1, 4, 7, and 10.

In this example, the review repeats every quarter.

Playbooks can also create Assessment evaluations and open Roadmap reviews for an advisor to complete.
