Build a repeatable plan for client work, then publish a version your team can run.

Before you begin

You need Playbooks access and permission to read and create Playbooks. Editing and publishing also require update permission. Starting a Run requires separate permissions. Getting access to Playbooks

Create a Playbook

  1. Open Playbooks → Playbook Runs → Templates and select New Playbook. You can also open Settings → Playbooks → Templates.
  2. Enter a name. Choose One-time for a plan with actions that happen once, or Ongoing for a plan that can repeat actions. Set the length for a one-time plan, then select Create playbook.
  3. In the builder, add the actions you want. Choose Task, Meeting, Assessment, Deliverable, or Initiative set for a Roadmap review.
  4. Give each action a title and set its schedule, assignee, and any prerequisite. Assessments and Deliverables require a template and a person or role. Tasks and Meetings can use a template or their own content. Set a time and duration for Meetings.
  5. Add a summary, description, or tags to help your team understand and find the Playbook. Select Save draft if you want to return and finish it later.

The Templates tab under Playbook Runs, with New Playbook at the upper right.

Open Templates to find New Playbook.

New Playbook dialog for a one-time client kickoff, with a 30-day length.

Choose the plan type and, for a one-time plan, the length.

Scheduling Playbook actions and assigning owners

Publish a version

  1. Open the Playbook and select Edit if you’re viewing it. Select Preview schedule to review how its actions are spaced.
  2. Resolve any incomplete actions or missing requirements, then select Publish. The Playbook shows Published with its version number when it is ready to run.
  3. To use it for a client, select Run Playbook where available or start from the client’s Playbook Runs page. Start a Run to put the schedule into effect for that client.

The Playbook builder shows a saved draft, its action timeline, Preview schedule, and an enabled Publish button.

Review the schedule and publish when the draft is ready.

Each published version keeps the action content and dependencies from the time it was published. Edits to a draft leave existing Runs on their original versions. Publish a new version when future Runs should use the changes.

Archive and troubleshoot

Archive a Playbook to remove it from the default Templates list. Published versions remain available for history and cannot be permanently deleted.

If publishing is unavailable, check for incomplete action details or unavailable templates. If someone else changed the draft, reload the latest version and reconcile your edits.
