Set when each Playbook action happens, what it waits for, and who is responsible. Your team can review the resulting schedule before publishing the Playbook or starting a Run.
Set an action’s schedule
- Go to Playbooks → Playbook Runs → Templates and open a Playbook. Select Edit, then select an action in the builder.
- Open Schedule. Choose a one-time action or a weekly, monthly, or yearly repeat. Set when the action first occurs and, for a repeat, its interval and the applicable days. If repeat options are unavailable, check whether the Playbook is set up as a one-time plan.
- To stop after a fixed number of repeats, enter a count in End after. Leave it blank to repeat through the Run’s schedule. For Meetings, also set the meeting time and duration.
- Under Rules, set how many days before the due date to create the work. If another action must finish first, choose it as the Prerequisite and set any additional wait. Use Hold for manual release when an advisor needs to release the action from the Run.
For example, repeat a check-in every month for up to three occurrences. Create the task a few days before each due date so the account manager has time to prepare.
Use End after to set an occurrence limit within the Run’s schedule.
Choose a person or client-team role
- In Assignee, choose a person when the same teammate should own the action for every client. Choose a role, such as Account Manager or vCIO, when the owner should follow the client’s team.
- Assessment and Deliverable actions require a person or role. Tasks and Meetings can be unassigned. For a Roadmap action, you can set default owners for suggested Initiatives and adjust them during the review.
- Check owners in the Run preview. A required role needs one eligible person. Resolve any assignment blockers before starting.
Choose an individual or let the Run resolve the client-team role.
Review the schedule before you start
Use Preview schedule in the builder to review the plan. After publishing, preview the Run for the actual client and start date. If you choose to begin partway through, earlier work is skipped and later dates shift with the selected start point.
Published versions keep their schedule and assignment rules. To change future Runs, edit and publish a new version. To change upcoming repeats in an existing Run, use Reassign… on the action when available. Work already created keeps its assignee.
