Managing legacy scheduled reports

Scheduled reports set up before scheduled Deliverables, including each client's Hardware Lifecycle Report, keep sending on their existing schedule. You manage them on the Legacy Reports tab of the client's Deliverables page, where you can change recipients, frequency, and the email, or pause a report.

Legacy scheduled reports don't appear on the Scheduled tab. That tab lists scheduled Deliverables only.

How to find a client's legacy scheduled reports

  1. Click the client picker and select the client.
  2. In the Engage section of the left navigation panel, click Deliverables.
  3. Click the Legacy Reports tab.

If you don't see the Legacy Reports tab, the client's license doesn't include scheduled reports or your role doesn't have access to them.

The list shows each report's frequency, number of recipients, status (Active or Paused), and next and last send dates. The Hardware Lifecycle Report is labeled Built-in and always appears first. Reports created by your team are labeled Custom.

Click a report to open it.

Note: You can't create new legacy scheduled reports. To set up new recurring reports, see Scheduling a Deliverable.

How to change who receives a report

  1. Open the report from the Legacy Reports tab.
  2. Under Recipients:
    • To add someone, search for a client contact or type an email address, then select it.
    • To remove someone, click the remove icon on their name.

Changes save right away.

For the Hardware Lifecycle Report, recipients are the client's contacts. Adding an email address that isn't already a contact creates a new contact for the client. If a recipient unsubscribes, they stay in the list but no longer receive the report.

For custom reports, recipients are saved on the report only and aren't added to the client's contacts.

How to change the frequency or pause a report

  1. Open the report from the Legacy Reports tab.
  2. To change how often it sends, select Monthly or Quarterly under Frequency.
  3. To pause the report, turn off Scheduled. Turn it back on to resume sending.

Changes save right away. Reports send on the first work day of the month or quarter at 8:00 AM UTC. You can't change the send day or time.

How to edit the report email

  1. Open the report from the Legacy Reports tab.
  2. Next to Preview, click Edit template.
  3. Update the Reply-to, Subject, or Body, then save.

The reply-to user is copied on every send.

If the Hardware Lifecycle Report uses your account's default email template, saving creates a template for this client only. To go back to the account default, open the template and click Reset to account defaults.

To check your changes, send yourself a test message from the bottom of the report. Test messages go to you only, not to the report's recipients.

How to edit or delete a custom report

To change a custom report's title or the hardware it includes, open the report and click the Report configuration tab.

To delete a custom report, click the actions menu beside it on the Legacy Reports tab, click Delete, and then confirm. You can't delete the Hardware Lifecycle Report, but you can pause it.
