Scheduled Deliverables automatically generate and send a Deliverable to a client on a recurring basis, so you don't need to rebuild and send the same report by hand each time.

What you'll need:
|
Accessing scheduled Deliverables
- Open the client's Deliverables page. (Client picker > client name > Engage > Deliverables)
- Click the Scheduled tab.
To see scheduled Deliverables across your entire portfolio instead of one client, switch to All clients in the client picker and open the Deliverables page from there, then click the Scheduled tab. This view adds a Client column showing which client each schedule belongs to.
The Scheduled tab lists every scheduled Deliverable, showing the template used, the cadence, any recipient overrides, status, the next delivery date, and when it was last delivered.
Creating a scheduled Deliverable
- Click + New Scheduled Deliverable.
- Under Deliverable template, select the template to generate on each send.
- Set the Frequency (for example, Monthly), the Time (shown in your account's time zone), and which day the send occurs On.
- To include the client's key contacts automatically, turn on Also send to the client's key contacts. To add specific people instead, or in addition, add them under Recipients, either by picking from the client's existing contacts or typing an email address directly. At least one recipient needs to be set before the schedule can be created.
- Enter a Subject and Message for the email. Type / in either field to insert a variable, such as the month or client name.
- To include a PDF copy of the Deliverable with each send, enable Attach a PDF of the deliverable.
- Click Create schedule.
The first send date and time appear at the bottom of the panel before you save.
Changing the sender name for a client
Scheduled Deliverable emails, including tests, show your account sender name as the "From" name. To use a different name for one client:
- Open the client's settings. (Client picker > client name > client actions menu beside the client name > Client Settings)
- Under Email sender, enter a name in Sender name override. The name can be up to 128 characters and saves automatically when you click away from the field.
Leave the field blank to go back to the account sender name. Only the name changes; emails still come from the same address. Changing this setting requires the Manage Basic Settings permission.
Previewing and testing a scheduled Deliverable
While creating or editing a scheduled Deliverable, the preview and test actions appear in the footer at the bottom of the schedule editor.
- Click View Preview to see the recipient email exactly as it will be sent, with the sender name shown beside From and the Subject and Message fields filled in.
- Click Send a Test to open the confirmation dialog and send a one-off copy to an address of your choice. The address defaults to your own, every variable is resolved, and your saved schedule is not affected.
- If Attach a PDF of the deliverable is on, the confirmation action is Send a Test with PDF and the generated Deliverable PDF is attached. If it is off, the confirmation action remains Send a Test and no PDF is attached.
Editing a scheduled Deliverable
- In the Scheduled tab, click the overflow menu beside the schedule you want to change.
- Click Edit Schedule.
- Update any field. The Deliverable template can't be changed once a schedule is created; to use a different template, delete this schedule and create a new one instead.
- Click Save changes.
Sending a scheduled Deliverable immediately
To trigger a one-time send without waiting for the next scheduled date:
- In the Scheduled tab, click the overflow menu beside the schedule you want to send.
- Click Send Now.
- Confirm by clicking Yes, Send Now in the pop-up.
This queues a new version of the Deliverable for sending. Progress is shown while the request is queued or running; the final outcome appears after processing completes. Your regular cadence isn't affected, so the Next Delivery date stays the same.
Pausing or resuming a scheduled Deliverable
- In the Scheduled tab, click the overflow menu beside the schedule.
- Click Pause Schedule, then confirm by clicking Yes, Pause Schedule in the pop-up. The schedule's status changes to Paused and no further sends go out until it's resumed.
- To start it again, click the overflow menu and click Resume Schedule.
Deleting a scheduled Deliverable
- In the Scheduled tab, click the overflow menu beside the schedule you want to remove.
- Click Delete Schedule.
- Confirm by clicking Yes, Delete Schedule in the pop-up. This can't be undone.
Review send outcomes
Send Now shows progress and the final sent or failed outcome. A second send is blocked while one is queued or in progress, so wait for the current request to finish before retrying.
- Open the schedule’s overflow menu.
- Choose View Run History.
- Review the completed scheduled runs and Send Now requests, including completion times and failure details.
Runs appear in history after they finish. Emails queued for delivery means the system handed the emails off for delivery; it does not confirm that each recipient received or opened them. If a run failed, use its failure detail to correct the issue before sending again.
Check the PDF inherited from the template
When Attach a PDF of the deliverable is enabled, scheduled reports and PDF-enabled tests use the selected template’s section cover-page and executive-summary settings. Change those settings in the template, then use Send a Test to check the attached output.
A test with a PDF is prepared in the background. Acceptance means the test was queued, so allow time for report generation and check the resulting email and PDF. Repeatedly sending the same test while it is still being prepared can be refused. A test does not add a normal Deliverable to the client’s list.
If a run fails, review the schedule’s run history and the affected report sections, correct the source or configuration, and try again when ready. A queued or accepted send is not confirmation of email delivery.
