Use a Multi-Site assessment to assess a client with multiple physical locations in one run. You can answer some questions once for the whole client and answer other questions separately for each site.
ScalePad CS combines the results into an overall score, a per-site breakdown, and a category-by-site view. Multi-Site results are also available in PDF reports and Deliverables.
Before you start
Make sure that:
- Your client has at least two sites.
- The sites are available in ScalePad CS under Settings → Sites or Client → Settings → Sites.
- A connected PSA or RMM source system has supplied the client’s location data. Sites cannot be added manually from the assessment form.
- You have the existing permissions required to create and perform assessments. To change an assessment type, you need permission to manage assessment types.
If the client has zero or one site, ScalePad CS creates a regular client-wide assessment instead. If you do not see the Scope option, the feature may not be enabled or the client may have fewer than two sites.
Understand assessment scopes
When you create an assessment, the Scope field determines how ScalePad CS covers the client’s sites.
| Scope | Description | What it creates |
|---|---|---|
| All Sites | One set of answers applies to the client as a whole. | One regular assessment containing every question. |
| Multi-Site | A separate assessment is created for each selected site. | One Multi-Site parent, one client-wide component when needed, and one component for each selected site. |
| Single Site | A single assessment is tagged to one site. | One regular assessment containing every question and tagged to the selected site. |
Assessment type scope settings apply only to Multi-Site assessments. All Sites and Single Site assessments include every question, regardless of its scope setting.
Client-wide and site-specific questions
- Client-wide questions are answered once for the whole client. For example: “Is there a company-wide backup policy?”
- Site-specific questions are answered separately for every selected site. For example: “Is the server room locked?”
All questions are site-specific by default. Mark company-wide questions as Client-wide before creating a Multi-Site assessment if you do not want a separate copy of those questions for every site.
In the interface, the client-wide component may appear as Client-Wide Items or All Sites Assessment. These labels refer to the client-wide component of a Multi-Site assessment. They are different from the All Sites scope, which creates one ordinary whole-client assessment.
Set question scope on an assessment type
Scope settings are configured on Custom assessment types and determine how questions are grouped in a Multi-Site assessment.
- Go to the Assessment Types list and open a Custom assessment type.
- In a category header, choose Client-wide or Site-specific. This applies the selection to every question in that category.
- To change an individual question, select its Client-wide or Site-specific scope pill.
- If a category contains both types of questions, select the mixed-scope indicator. Choose Set all to client-wide or Set all to site-specific to make the category uniform.
- Continue configuring the assessment type. Changes save automatically.
Scope controls include descriptions of how each scope is used. Scope settings are used only by Multi-Site assessments.
Scope settings to keep in mind
- New questions use the scope of their category.
- ScalePad assessment types are read-only. Duplicate one to create a Custom copy before changing question scope.
- Changes to an assessment type do not change assessments that already exist. An assessment keeps the question scope that was saved when it was created.
- Questions imported from CSV are site-specific because CSV imports do not include a scope column.
- JSON imports support
"site"and"client"scope values. Questions without a scope value default to site-specific.
Create a Multi-Site assessment
- Open the client’s Assessments page, or open the account-wide Assessments list.
- Start a new assessment.
- Select the Client, Assessment Type, Performed by, and Date.
- Open Scope and select Multi-Site.
- In the Sites dropdown, select the sites to include.
- Use search to find a site.
- Select Select all sites to select every site. When all sites are selected, this option changes to Clear all sites.
- If the client has more than 50 sites, select Select first 50 sites or choose individual sites.
- Select Apply. The scope chip displays the number of selected sites, such as 3 sites.
- Select Create.
ScalePad CS creates:
- A client-wide component containing only the client-wide questions, if the assessment type has any.
- One component for each selected site containing only the site-specific questions.
- A Multi-Site parent that rolls up the component results.
Categories with no questions for a component are left out of that component.
Create a Single Site assessment
To create a regular assessment for one site:
- Start a new assessment.
- Select the client and other assessment details.
- Set Scope to Single Site.
- Select one site from the Site dropdown.
- Select Create.
A Single Site assessment includes every question and is tagged to the selected site.
Validation and limits
- You must select at least one site for a Multi-Site or Single Site assessment.
- An assessment can include a maximum of 50 sites.
- Changing the client clears the selected scope and sites.
- A Multi-Site assessment and all its components count as one assessment run.
Find and open a Multi-Site assessment
On the client’s Assessments list, a Multi-Site assessment appears as one row with a badge such as Multi-Site · 3 Sites.
Select the chevron to expand the row. The expanded row shows the components beneath the parent:
- The client-wide component, shown with a building icon.
- Each site component, shown with a map-pin icon and the site name.
The badge includes completion information as components are completed, such as Multi-Site · 3 Sites · 1 Complete.
Select the parent title or badge to open the Multi-Site overview. Select a component to open that component’s assessment.
A Single Site assessment displays a map-pin icon beside its title. Hover over the icon to see the site name.
Use the Multi-Site overview
The overview page includes:
- The assessment title, scope badge, status, completion, overall score, export menu, and progress bar.
- A Client-Wide Items row when the assessment contains client-wide questions.
- A Per Site Assessments table with the site, performer, date, score, items, answers, and completion.
Select the client-wide row or a site row to open that component. When no site assessment has started, the table displays No site assessments yet.
Perform the assessment
Open each component and complete it as you would a regular assessment. You can use answers, comments, follow-up initiatives, tickets, tasks, and custom answers in the normal way.
The Multi-Site assessment is marked Completed automatically when every component is complete. Reopening a component changes the parent back to In Progress.
Answer history and trend charts stay within the same scope. Site-specific questions show history for that site, while client-wide questions show client-wide history; answers from different sites are not mixed.
View results
Select View results from the Multi-Site overview.
Before every component is complete, the results page displays a warning such as Provisional · 60% complete.
The results page includes:
- Overall score — the combined score for the Multi-Site assessment.
- Site breakdown — a client-wide bar and one bar for each site. Each site score combines the client-wide answers with that site’s answers. A line marks the overall score.
- Category scores by site — a grid with categories down the side and columns for Overall, Client-wide, and each site.
- Items by location — tabs for Client-wide and each site, with the usual result filters and grouping options.
An em dash means that a location has no questions in that category or has not started. An unstarted site displays a message such as Austin hasn’t been started yet.
How scores are calculated
The overall score is not an average of the site scores. ScalePad CS calculates the score item by item:
- A site-specific question counts as the average of its scores across the sites that have started.
- A client-wide question counts once for the client.
- The assessment type’s normal question and category weights are then applied.
- A site’s score combines the client-wide answers with that site’s answers.
- Not Applicable, Unknown, and sites with no answers are excluded from scores.
Completion counts every selected site, including sites that have not started. It is calculated from the number of client-wide questions plus the number of site-specific questions multiplied by the number of selected sites.
Export a PDF report
From the Export menu on the overview or results page, select an available report type:
- Summary Report
- Full Assessment Report
- Item Detail Report, when enabled
Summary and Full Assessment reports include a Multi-Site Overview section with completion, a site breakdown, and category scores by site. When there are many sites, the category grid continues across pages. Item content is grouped under a heading for each location.
Comparison Reports are not available for Multi-Site assessments.
Add results to a Deliverable
- Open the Deliverable editor.
- Add an Assessments section.
- Select the assessment type.
- Choose the Multi-Site widgets to display:
- Site breakdown
- Category scores by site
Deliverables use the latest completed assessment of the selected type. An in-progress Multi-Site assessment is not included. Comparison is hidden when the latest completed assessment is Multi-Site.
Frequently asked questions
Why don’t I see the Scope option?
The client may have fewer than two sites, or Multi-Site assessments may not be enabled for your account. Check Client → Settings → Sites to confirm that the client’s sites are available.
Why did ScalePad CS create one full assessment per site?
Questions are site-specific by default. Mark company-wide questions as Client-wide on the assessment type before creating the Multi-Site assessment.
Why is the score provisional?
At least one site component or the client-wide component is not complete. The score becomes final when every component is complete.
Does a Multi-Site assessment use more than one assessment run?
No. The parent and all its components count as one assessment run.
Can I compare two Multi-Site assessments?
No. Previous results and comparison reports are not available for Multi-Site parent assessments.
What happens if a site is renamed or deleted?
A renamed site uses its current name. If a site is deleted, it appears as Unnamed site in the assessment list and overview, or Site on the results page.
What happens if I delete a Multi-Site assessment?
Deleting the parent deletes all its components and their follow-up links.
