Check source dates and manual overrides

Select the client, open Manage > Hardware, and open an asset’s details. Data Sources shows the contributing source values. The earliest/latest rules below describe resolved source dates; a saved manual purchase- or warranty-expiry-date override takes precedence until removed. See Manually editing hardware assets to set or remove an override.

A warranty-expiry override cannot shorten purchased ScalePad coverage; the purchased coverage date remains effective unless the manual date is later.

When your hardware asset data syncs into ScalePad CS, your integrations might have different purchase and expiry dates from our warranty lookups. When this happens, ScalePad CS determines which date to show in the Final Summary.

Resolving conflicting dates

To err on the side of caution, ScalePad CS resolves each conflicting date as follows:

  • Purchase Date resolves to the date furthest in the past
  • Expiry Date resolves to the date furthest in the future

This resolved date is the one used in the Final Summary, our automated reporting, and in the Hardware console.

Why an expiry date can appear without a purchase date

Integrations and OEM warranty lookups send the purchase date and the expiry date as separate values. ScalePad CS doesn't calculate one date from the other, so a source can provide an expiry date without a purchase date.

When this happens, the asset shows its expiry date, but its purchase date and age are blank. Age is calculated from the purchase date only. A blank purchase date doesn't mean the warranty lookup failed. The source might have returned only part of the warranty information.

To show the asset's age, add the purchase date manually. See Manually editing hardware assets.

Writing dates back using Two-Way Sync

Two-Way Sync can only write back dates that come from a warranty lookup. ScalePad CS will never read a date from one of your integrations and then write it into another integration.

Refreshing warranty dates

ScalePad CS updates coverage data regularly. Expiry dates for Workstation Assurance and Infrastructure protection purchased through ScalePad CS display immediately.

In contrast, if you purchase a third-party or OEM warranty extension, the updated warranty may not appear. Our system has no way to determine the expiry date of a warranty purchased outside of ScalePad CS. OEM extended warranties can also take up to 30 days before they are refreshed and displayed in ScalePad CS.

Data is updated as often as possible while avoiding constant warranty checks on millions of assets. To balance these needs, we use a smart algorithm for each OEM that prioritizes assets likely to be renewed, ensuring up-to-date coverage information.
